Associate, Public Policy & Government Relations

The Administrative Associate is a key member of Humanity United’s Public Policy & Government Relations (PPGR) team and Humanity United Action, our sister organization that advocates for legislative policies to advance solutions for global problems long considered intractable like human trafficking, mass atrocities, and violent conflict. The Administrative Associate will report to the Managing Director of Public Policy & Government Relations in the Washington, D.C. office.

The Administrative Associate functions mainly as a floating team member and is responsible for providing real time administrative support across various activities and priority projects.

This is a temporary position anticipated to be in place until December 2018.



Provide general administrative support to PPGR team, to include calendaring, filing, and travel logistics
Ensure expense reports are completed in timely manner
Support lobbying administrative tasks, including tracking and submitting lobbying time, and ensure HUA team is current on all TOG lobbying policies
Coordinate both small- and large-scale meetings, either in person or using conference technology, handling challenges such as arranging local and international participation across multiple time zones.
Provide event coordination and support for internal and external events

  • Support production of reports and materials as requested (putting together folders for Hill meetings, monthly coalition meetings, other reports etc.)
  • Assist with any data entry/spreadsheet management and activity tracking needs, including monitoring key indicators and tracking team progress
  • Research and track new legislation and trends related to HU and HUA’s work
  • Take and circulate meeting notes for internal and external meetings
  • Attend hearings, panels and other external events, as requested and required, and report back to team
  • Work directly with Communications staff and Consultants to develop and maintain the Humanity United Action (HUA) website
  • Manage internal communications practices and systems for Humanity United Action, including key internal communication protocols, internal website, email distribution lists, and other communication tools, in coordination with IT staff
  • Manage HUA grants, DIAs, and consultant contracts within the grants management system
  • May be called upon to assist with special projects and assume responsibility for the development, administration and promotion of specific projects, as required



  • Bachelor’s degree required
  • Experience supporting senior personnel is required
  • Prior work in a non-profit or philanthropic environment is highly desirable
  • Must demonstrate excellent communication skills (verbal and written), resourcefulness and sound judgment
  • Advanced knowledge of Apple-based hardware/software products
  • Effective project coordination tasks, such as scheduling meetings, data entry, transcription
  • Must be strong at multi-tasking, prioritizing, and have demonstrated expertise in proactively working on projects of wide scope and significant magnitude
  • Must have outstanding attention to detail, accuracy and organization skills
  • Customer-orientation – ability to consistently demonstrate a professional manner in dealing with individuals at all levels, both internally and externally to the organization
  • Comfortable with ambiguity, must demonstrate high degree of flexibility and adaptability required or indicative of a startup, entrepreneurial or changing work environment
  • Must be a creative and independent self-starter, while being a strong team player who acts with diplomacy at all times
  • Strong work ethic and impeccable professionalism are key job requirements
